I think you might need to give yourself a bit more time and actually get a list going first because not everyone is available all the time to help. I gave a weeks notice on this and the Playstation forums and specified a time and date and that was plenty of time for people to say yes, no, or maybe even changes to the date and time if the majority needed it to. I also checked back regularly and if anyone else arranged a meet I invited them onboard to boost numbers. If you rush it you may end up not getting enough people to help.
